Minutes of a meeting of the Committee of the Association of Parents and Friends of Hills Road Sixth Form College held on Tuesday 4th January 2005 at the College

Minutes of the Last Meeting

Minutes were read, approved and adopted.

Matters Arising

There were no matters arising.

Chairman's Report

There was no Chairman's report as this was an abbreviated normal committee meeting to enable more time to be spent on Art Exhibition matters. The primary function of this part of the meeting was to arrange the HE funding evening.

Treasurer's Report (Given by the Chairman)

The Treasurer stated that although the new account had been opened no funds had actually been transferred. This was because Nat West had apparently been trying to make charges on the account although none are required for this type of account. The College library has bought a number of books with the returned 500-club prize money.

Principal's Report

There was no report.

HE Funding Evening

HE Funding Evenings will be held on Tuesday January 25th and Tuesday February 1st. The Speakers have been confirmed as Rodney Blair (APU) plus Sue Pedley and Martin Fuller both of Cambridge City Council. No student speaker has yet been found. Nigel Taylor is helping with this. Approximately six helpers will be needed between 7. 00pm and 9pm. The talks are from 8pm to 9pm. The Art Exhibition is to advertised at these evening perhaps by projecting the poster at the start of the evening.

Art Exhibition

Venue

Eyo Inameti reported that the Sports Hall is now booked for the Exhibition. The Hall will be open from 4pm on Wednesday after noon and the works will start to arrive that evening. Hanging the works will take place during Thursday and Friday. The opening evening on Friday will begin at 7pm with the speeches at approximately 8pm. Entry will be £5 on the opening night and £2 on the other days including a catalogue.

Exhibitors & Letters

Lindsay and John Tasker are to contact the artists who will exhibit. They have been selected from those who have exhibited in previous years, artists who are involved in Cambridge Open Studios and the Wysing Arts Workshop. A letter has been drafted for this task. It was suggested that it might be a good idea to enquire about the size of the works to ensure sufficient hanging space was available. A possible way of displaying more works is to have a "Browser" that enables unframed posters etc. to "flipped". The art Dept. may have one of these. Another suggestion was that the artists attending the opening evening might be encouraged to wear nametags so that potential customers could approach them.

Catalogue

The catalogue should also contain some basic information regarding the artist. The college will print the catalogues but will need to be primed for this task (Allison Clarke). It was thought that around 250 copies would be required. If the catalogue were stored on a lap top computer extra copies could be printed at will during the exhibition.

Tickets

The College normally prints these.

Posters

The artwork for the posters is actually an examination piece for one of the College students. Ideally this should be ready soon as it was thought that the printed posters and fliers should be ready for mid February. Approximately 400 posters and 1600 fliers are required. If fliers are to be given to HRSFC students the number of fliers rises to over 3,000. John Rogers is to approach Falcon Printing Services about printing these. The design is to be approved at the next meeting at the beginning of February, however circulating the design electronically before then could speed up this process. Philip Neale will distribute both posters and fliers.

Publicity & Media

Ted Coney is to coordinate the publicity and asked if Catherine Whatling still wants to be involved. John Rogers will contact her.

Sponsorship & Prizes

Julia Colgate has drafted a new letter to send to potential sponsors. This will be sent out shortly. John Rogers will contact Penco and Heffers regarding prizes for the draw.

Catering & Refreshments

Clare Matthews will approach supermarkets etc. for refreshments on the opening evening.

Flowers & Gifts

Chato Arthur will provide bouquets and floral decorations.

Music Sound & Lighting

These items were not discussed.

AOB & Date of next meeting

There was no other business. The next meeting will be on Monday Feb. 7th when the meeting will again concentrate largely on Art Exhibition matters. The meeting ended at 9.40 pm
